Job Summary

The Accounts Payable-Vendor Compliance Specialist will be responsible for managing vendor files to ensure compliance with insurance requirements, 1099 reporting requirements, and fully executed contract documents. The AP-Vendor Compliance Specialist will also participate in basic Accounts Payable administrative functions, such as processing invoices, to assist and serve as back up to the rest of the department.

Responsibilities include (but are not limited to) :

  • Ensure that all new and existing vendors have requisite insurance certificates on file.
  • Act as liaison between Vendors, Insurance Agents, and Internal Managers to make sure insurance requirements are met and are properly reflected on certificates and contracts.
  • Maintain the vendor database in AP system to make sure current insurance information is entered and updates have been requested for all expired certificates.
  • Ensure that all new vendors have submitted a W-9 and are set up accordingly, in the AP system.
  • Provide assistance with the issuance of 1099’s following year end.
  • Ensure that all new contractors who have been hired to provide a service have a fully executed contract on file complete with scope of work, rates, insurance requirements, and indemnifications.
  • Act as liaison between Contractors and Internal Managers to make sure contract requirements are met.
  • Reconciles purchase orders and packing slips with invoices, codes and enters invoices into the AP system, matching checks to invoices after each check run.
  • Other duties as assigned

  • 3-5 years of related experience
  • Strong organizational skills
  • Ability to implement effective time management and prioritize
  • Detail oriented and the ability to multitask
  • Ability to accurately process and record a large volume of data
  • Excellent communication and interpersonal skills
  • Proficiency with Microsoft office (including Excel) and email
  • Ability to be at work regularly and on time

Physical Requirements

  • Position requires extensive computer and phone work.
  • Periods of extensive sitting
